1. Who We Are

MailMe is operated by Travel Solutions Australia Pty Ltd (ABN 39 620 628 426) (“MailMe”, “we”, “us”, “our”).

We provide a secure Australian postal address, mail scanning and forwarding services to individual travellers.

2. Our Commitment to Privacy

We are committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Because our service involves receiving and scanning physical mail, we recognise that we may handle highly sensitive personal information. We take this responsibility seriously.

3. What Personal Information We Collect

We collect personal information necessary to provide our services.

A. Account & Contact Information

  • Full name
  • Email address
  • Phone number
  • Residential address (provided during purchase)

B. Mail Content (as part of the service)

When you use our mail scanning service, we receive and scan physical mail addressed to you. This may include:

  • Letters and documents
  • Documents containing personal or sensitive information
  • Official documents (e.g. tax, immigration, legal or financial documents)

We do not scan the outside of envelopes unless required for operational purposes. The first page of each document is scanned and uploaded to your secure account.

C. Technical Information (via App & Website)

Through Firebase, Google Cloud and analytics tools, we collect:

  • IP address
  • Device model and operating system
  • App version
  • Account creation date
  • Login timestamps
  • Usage logs
  • Crash logs (Crashlytics)

This information helps us secure and improve our app.

D. Payment Information

Payments are processed securely via Shopify Payments / Stripe.
MailMe does not store your full credit card details.

We retain transaction records in Shopify and Xero for accounting and legal compliance.

4. Sensitive Information

Due to the nature of our service, mail we receive may contain:

  • Tax file numbers
  • Health information
  • Legal documents
  • Immigration documents
  • Financial information

We do not actively collect this information — however, it may be contained in mail you direct to us.

We handle such documents solely for the purpose of scanning and uploading them to your secure account.

We do not use, analyse, or store sensitive content for any other purpose.

5. How We Collect Information

We collect information:

  • Directly from you when you create an account or make a purchase
  • When mail is delivered to your MailMe address
  • Automatically via our app and website technologies
  • From third-party service providers (e.g. Shopify, Firebase)

6. How We Use Your Information

We use your information to:

  • Provide mail receiving and scanning services
  • Upload scanned documents to your secure account
  • Communicate with you about your mail
  • Process subscription payments
  • Improve app functionality and security
  • Comply with legal obligations

We do not sell your personal information.

6A. Duo Plan Consent

For Duo Plans (two-person accounts), the primary account holder confirms that they are authorised to provide consent on behalf of the second named individual for:

  • Mail receiving and handling
  • Opening and scanning of mail
  • Digital storage of scanned documents
  • Forwarding and destruction of mail
  • Associated processing of personal information in accordance with this Privacy Policy

MailMe relies on the primary account holder’s confirmation that they have obtained appropriate authority from the second named individual.

If the second named individual withdraws consent, they may contact us directly at info@mailmeapp.com.au

7. Physical Mail Security

Mail is received at a secure PO Box facility in Queensland (address not publicly displayed).

Access is restricted to:

  • Directors of the company
  • Trained MailMe staff members

Mail is:

  • Stored in a locked office
  • Secured in locked cabinets
  • Retained for a maximum of three (3) months
  • Destroyed using a cross-cut shredder located in our secure office

8. Digital Security Measures

Scanned mail is stored in Google Firebase / Google Cloud Platform (GCP).

Security measures include:

  • HTTPS/TLS encryption in transit
  • Encryption at rest (Google-managed encryption keys)
  • Role-based access controls
  • Restricted staff access
  • Two-factor authentication
  • Password manager usage
  • Access logging
  • Windows Defender endpoint protection
  • Staff confidentiality agreements

Only authorised MailMe staff may access the scanning interface.
Only you can access your mail via your secure account login.

9. Data Retention

During Subscription

You retain access to scanned mail and account data for the duration of your active subscription (6 or 12 months, or extended period if renewed).

After Subscription Ends

  • We notify you that your data will be deleted.
  • You are given 90 days to download your documents.
  • After 90 days, your account and all scanned mail are permanently deleted from Firebase.

Accounting Records

Transaction and financial records are retained for 7 years in compliance with Australian taxation laws.

10. International Data Transfers

Some of our service providers (e.g. Shopify, Google Cloud) may store data outside Australia.

Where this occurs, we take reasonable steps to ensure overseas providers comply with privacy protections consistent with Australian law.

Customers located in the European Union may also have rights under GDPR.

11. Marketing Communications

We may send promotional emails.
You can unsubscribe at any time using the link in the email.

We do not send SMS marketing.

12. Your Rights

You may request:

  • Access to your personal information
  • Correction of inaccurate information
  • Early deletion of your data
  • Export of your account data

We may verify your identity before processing requests.

You may withdraw your consent for mail opening at any time by contacting us in writing at info@mailmeapp.com.au Please note that withdrawal of consent may limit our ability to provide certain features of the service.

 

13. Data Breach Notification

We maintain a documented data breach response procedure.

If a data breach occurs that is likely to result in serious harm, we will:

  • Notify affected individuals
  • Notify the Office of the Australian Information Commissioner (OAIC)
  • Take immediate steps to contain and remediate the breach

Incidents are managed by company directors.

14. Children

Our services are available only to individuals aged 18 years or older.

We do not knowingly collect personal information from children.

15. Changes to This Policy

We may update this Privacy Policy from time to time.

Updated versions will be published on our website with a revised “Last Updated” date.
